Privacy Policy

Dental Vantage Point (“DVP,” “we,” “our,” or “us”) provides marketing-attribution software to dental practices. This Privacy Policy explains what information we collect when a dental practice uses our platform, how we use that information, and the choices our customers have.
1. Who this policy applies to
This policy covers our dental-practice customers (“Customers”) and people who interact with our customers through tracked channels (“End Users”) — such as patients who call a tracked phone number or submit a form created by a Customer.
2. Information we collect
From Customers:
- Account information (name, email, practice name).
- Authentication tokens for third-party services the Customer connects (e.g., Google Ads, practice management systems).
- Configuration and billing data.
From End Users:
- Phone numbers, call recordings, and call metadata for calls placed to a Customer’s tracked phone numbers.
- Form submissions (name, phone, email, and any fields the Customer configured) when an End User completes a tracked form.
- Marketing-source signals such as UTM parameters, referrer URL, and the campaign that originated the lead.
From third-party platforms (with Customer authorization):
- Google Ads: campaign, ad group, and performance metrics for accounts the Customer has authorized us to access.
- Practice management systems: appointment, patient, and production data needed to attribute leads to revenue.
3. How we use information
- To operate, maintain, and improve our services.
- To attribute incoming leads to the marketing campaigns that produced them, and to report on campaign performance.
- To detect, prevent, and respond to fraud, abuse, security, or technical issues.
- To communicate with Customers about their account, billing, support requests, and product updates.
- To comply with legal obligations.
We do not sell personal information. We do not use End User personal information to target advertising on behalf of unrelated third parties.
4. How we share information
- With our Customer: the dental practice that operates the tracked channel through which an End User contacted them.
- Service providers: infrastructure, telephony, email, and analytics vendors that process data on our behalf under written confidentiality and security obligations.
- Legal: when required by law, subpoena, or to protect the rights, property, or safety of DVP, our Customers, or the public.
5. Google API services
DVP’s use and transfer of information received from Google APIs adhere to the Google API Services User Data Policy, including the Limited Use requirements. We use Google Ads data only to provide the marketing-attribution and campaign-management features that the Customer signed up for, and we do not transfer Google user data to third parties except as necessary to provide or improve those features, comply with applicable law, or as part of a merger, acquisition, or sale of assets with notice to Customers.
6. Offline conversion tracking
When you authorize Dental Vantage Point to manage your Google Ads account, we automatically send signals about appointment bookings and patient production back to Google to help optimize your ad bidding. The data sent is the minimum necessary for Google’s matching: a conversion event type (“Lead Booked” or “Paid Production”), a timestamp, a value bucketed to the nearest $50, and either a Google Click ID (gclid) or a caller phone number to identify the originating click. We do NOT send patient names, dates of birth, diagnoses, procedure codes, treatment plans, or any other identifying medical information. You can disable offline conversion uploads at any time from your Settings page.
7. Call recordings & consent
Where a Customer enables call recording on a tracking phone number, we play a brief consent message to the caller before connecting the call. Recordings are stored encrypted at rest and are accessible only to authorized users at the Customer’s practice.
8. Data security
We use industry-standard technical and organizational measures to protect information, including TLS in transit, AES-256 encryption at rest for sensitive credentials, role-based access control, and audit logging. No system is perfectly secure; we cannot guarantee absolute security.
9. Data retention
We retain Customer and End User data for as long as the Customer maintains an active account, plus a reasonable period afterward to comply with legal obligations and resolve disputes. Customers can request deletion of their data by contacting us at the address below.
10. Your choices
- Customers can disconnect any third-party integration at any time from the Settings page.
- Customers can request access to, correction of, or deletion of account data at any time.
- End Users with questions about how a particular dental practice uses their information should contact that practice directly.
11. Changes to this policy
We may update this policy from time to time. Material changes will be announced through the product or by email to Customers. Continued use of the service after a change indicates acceptance of the updated policy.
